What does it take to be an EAM/CMMS administrator? You can look at job postings and get a feel for what an Enterprise Asset Manager or Computer Maintenance Management Systems administrator does. However, the key to finding a quality EAM/CMMS administrator comes from combining the technical requirements with the vision of the SaaS vendor the solution is coming from. Together they portray the characteristics of a good administrator.

Typical Client Requirements:

  • Planning – ability to plan daily, weekly, and monthly activities including training issue resolution, work orders, preventive maintenance and inspections. Organization skills are a must.
  • Scheduling– ability to make a daily, weekly and monthly schedule by analyzing reactive versus reactive measures to maximize efficiencies and ensuring flexibility to meet needs.
  • Execution – ability to manage schedules and plans, assign appropriate staff  to accomplish work processes. Maintain and improve desired efficiencies. Adjust as necessary.
  • Follow up – be able to report the results of the time specific activities  to the appropriate people. Set and maintain measurable benchmarks. Review results to ensure ROI is achieved.
  • Work flow comprehension – understand workflow processes and interactions. This includes understanding Preventive Maintenance concepts, best practices for their particular environment.

  • Training background – be able to coach and train staff on the EAM/CMMS solution and best practices for performing tasks. Effective utilization of the system is essential. Increasing staff skill levels increases adoption rates.
  • Experience in the industry – knowledge base helps understand work processes. Prior asset management techniques are critical. Database setup and maintenance experience is key.
  • Technical competence– either with a specified system or use of an EAM/CMMS. Ability to find solutions using technology such as mobile handheld devices.
  • Team Player– ability to act as a responsible liaison between end users and SaaS vendor. Maintain open communications accepting feedback to improve systems.

Vendor Recommendations:

  • Strategic planning background – prior experience may help set end user expectations, facilitate change management for implementing an EAM/CMMS system
  • Training background – training end users to be able to fully utilize the systems capabilities
  • Asset management experience – knowledge and experience in managing assets using an EAM/CMMS system as well as setting up and maintaining EAM/CMMS databases.
  • Work flow, work order, preventive maintenance and inspection management experience – understands planning, scheduling, follow up, reporting, and best practices.
  • Technical competence – prior experience with technology and its integration (ex: mobile hand held devices), ability to suggest customization needs.
  • Team Player – ability to act as a responsible liaison between client and vendor

Combining the end user needs with vendor recommendations

The ideal EAM/CMMS Administrator is more of a Jack of All Trades but is especially skilled in:

  • Training
  • Planning/Scheduling
  • Work flow
  • Detail oriented
  • Excellent communication skills up, down and outside
